

A reservation made by a customer becomes binding for both the hotel and the customer once the hotel has confirmed the reservation. Reservations can be made in writing. Phone reservations will be confirmed by email.
Upon request, the hotel will provide a written confirmation including the agreed services, prices, and cancellation terms.
Room reservations may only be made by persons aged 18 or older. A person making a reservation for a minor is responsible for the minor. If a minor is staying alone, they must present written permission signed by a guardian. The permission must include the minor’s name, date of birth, dates of stay, and the guardian’s name and phone number.
Unless otherwise agreed, the room is available to the customer from 15:00 (3:00 PM) on the day of arrival and must be vacated by 12:00 (12:00 PM) on the day of departure.
Upon arrival, the customer must complete a traveller registration form (also known as passenger card) in accordance with the Act on Accommodation and Catering Services (28.4.2006/308), section 6.
For safety reasons, the hotel must be aware of all guests staying in the room. Guests staying in the room must inform the hotel about any visitors.
If the room rate is based on the number of occupants, the hotel will charge an additional fee for extra persons according to the current price list. The registered guest is responsible for these charges.
Guests may not allow external persons into accommodation areas or related service areas (hotel corridors, rooms, restaurant) without the hotel’s consent.
The registered guest is responsible for other persons staying in their room and for any damage they may cause.
According to the Act on Accommodation and Catering Services, section 5 (30.12.2014/1346), the hotel has the right to refuse entry to a person if there is justified reason related to order or the nature of the establishment. The operator and staff also have the right to refuse service of food or beverages and to remove a customer if they disturb other customers, cause disruption, or do not meet the entry requirements.
The prohibition of discrimination is regulated in the Non-Discrimination Act (1325/2014), section 8.
A late check-out may be available depending on availability and costs 10 € per hour. Please inquire about late check-out at reception.
A reserved room will be held until 18:00 (6:00 PM) on the day of arrival unless a later arrival time has been agreed.
A hotel room reservation agreement is binding for both parties. If either party breaches the agreement, they are liable to compensate the other party.
If the reservation has caused special expenses for the hotel, the customer must compensate these costs in full.
For private customers, compensation for unused accommodation is determined as follows:
• No cancellation fee if the reservation is cancelled no later than 18:00 on the day before arrival
• If cancelled after this time, the customer will be charged one night's accommodation
• If the customer does not arrive and has not cancelled the reservation, the customer will be charged one night's accommodation
If a reservation is made for a specific period and the customer departs earlier than agreed, the agreed price must be paid for the unused period.

The person making the group reservation may cancel the reservation without special reason as follows:
• No charge if cancelled at least 30 days before the reservation begins
• 29–15 days before arrival: the hotel may charge 50% of the accommodation price
• Less than 15 days before arrival: the hotel may charge 100% of the reservation price
• Unused rooms that were not cancelled will be charged in full
Please note that name lists and special dietary requirements must be provided at least 14 days before the event.
For group reservations, payment terms and advance payment arrangements are agreed in advance with the person making the reservation.
If the reservation holder is a company and wishes to be invoiced afterwards, a prior invoicing agreement between the company and the hotel is required.

Cancellation fees:
• No charge if cancelled at least 30 days before the event
• 29–15 days before the event: the hotel may charge 50% of the reservation value
• Less than 15 days before the event: the hotel may charge 100% of the reservation value
• The hotel has the right to charge for uncancelled persons, rooms, facilities, and services in full
Billing basis:
• For events with over 100 participants, terms are agreed case by case
• For events with under 100 participants, 29–15 days before the event: 50%
• 14–0 days before the event: 100%
If cancelling an event causes special costs (for example staff costs, permits, tickets, performers, special decorations, or special technical equipment), the customer is responsible for these costs.
The customer must provide the final number of participants and confirmation of catering at least 14 days before the event.
A ±10% change is allowed up to 7 days before the event.
Billing will be based on the number of participants confirmed 7 days before the event.
If the final participant number is changed less than 7 days before the event, or not reported at all, the service provider has the right to charge according to the originally quoted number of participants.
If the actual number of participants exceeds the confirmed number, the customer will be charged according to the actual number.
If the number of participants decreases significantly, the hotel has the right to move the event to a space appropriate for the number of participants.
The customer is responsible for all costs unless otherwise agreed in writing.
Invoicing requires a valid invoicing agreement with the hotel. The hotel may require full or partial advance payment. If an agreed advance payment is not paid by the due date, the hotel has the right to cancel the reservation.
The hotel reserves the right to make changes.
The hotel reserves the right to change prices if the changes are due to legislation or changes in public charges imposed by authorities.
The customer will be notified of such changes in writing.
The hotel also reserves the right to change prices if the reservation itself changes (dates, duration, number of persons, facilities, etc.).
Hotelliravintola Kumpu has the right to cancel or modify reservations due to circumstances beyond the hotel’s control (force majeure), such as strikes, lockouts, fire, war, significant public health risks, or official authority orders.
Damages resulting from such circumstances will not be compensated.
The hotel may also terminate or cancel an event if it disrupts other operations, violates contractual terms, or endangers the hotel’s reputation or safety.
The hotel has the exclusive right to provide catering at events.
The hotel holds licenses for serving alcoholic beverages. According to Finnish alcohol legislation, consumption of outside beverages in licensed areas is prohibited.
If the event requires special permits, entertainment, orchestras, special decorations, or exceptional technical equipment, the customer is responsible for the related costs unless otherwise agreed.
Customers are fully responsible for any damage caused to the hotel or its property by themselves, their guests, pets, or persons permitted by them to enter the premises.
Compensation also applies to negligent damage. Lost property and costs arising from unusual cleaning must be compensated.
Permission for pets (or payment of a pet fee) does not remove the customer’s liability for damage caused by pets.
If the hotel agrees on renovation or repair work after a reservation has been made, the hotel will inform the customer.
Renovation or repair work does not constitute grounds for cancellation unless otherwise agreed between the parties.
Customers must immediately notify hotel staff of any deficiencies so they can be corrected during the stay.
Guests must treat the hotel and its property with appropriate care and avoid causing damage or disturbance.
The following are prohibited:
• Smoking
• Use of strong fragrances
• Use of intoxicating substances
• Offering sexual services or producing adult content
• Criminal activity
• Keeping pets in the unit without permission
Pets are allowed in some rooms only with separate written permission and an additional fee.
Guests must ensure that:
• The unit and shared areas are kept clean
• Waste is disposed of properly
• Lights, electrical devices, and water taps are turned off when leaving or sleeping
• Doors are locked and windows closed when leaving
• Keys are not copied or given to third parties
• No repairs or modifications are made in the unit
All defects or damages must be reported immediately. Emergencies must also be reported to authorities and/or maintenance services.
The customer is not entitled to compensation for deficiencies that were not properly reported.
If the parties cannot reach an agreement, the customer may submit the matter to the Consumer Disputes Board. If no settlement is reached, disputes will be handled by the District Court of North Karelia. Finnish law applies.
Hotelliravintola Kumpu reserves the right to change prices due to supplier price changes or VAT changes. Customers will be informed as soon as possible.
These cancellation terms apply unless otherwise stated in the offer or reservation confirmation. By confirming the reservation, the customer agrees to these terms.
We recommend that customers obtain travel insurance for unexpected situations.
The hotel is not obligated to accept cancellations without fees based on a medical certificate or similar documentation.
